    The basics

What to include on an invoice

    • Who is sellingYour business name, address and contact details. Add your tax or VAT number if you have one.
    • Who is buyingThe client name and address, so the invoice can be matched to the right customer.
    • A unique numberEvery invoice needs its own number, in order. It is how you and your client find it again.
    • DatesThe date you issued it, and the date payment is due. For a sale of goods, the date they were sent is also worth showing.
    • What was soldA clear description, the quantity and the price of each line. Say what the job was, not just "services".
    • The sumsSubtotal, any discount or shipping, each tax rate and the total. Show the currency.
    • How to payBank details, a payment link or a PayPal address, and the terms: due on receipt, 14 days, 30 days.
    • A short noteLate payment terms, a thank you, or your return policy. One or two sentences is plenty.
    Which one do you need

Invoice, receipt, quote or credit note

    • InvoiceA request for payment. It lists what you sold, what is owed and when it is due. Send it before or when the work is done.
    • ReceiptProof that money arrived. It shows what was paid, when and how. Give one when a client or customer pays you, or asks for one.
    • Quote or estimateA price offered before the work starts, with a date it is valid until. It is not a bill, and the client does not pay from it.
    • Credit noteTakes money off an invoice you already sent, for a return, a mistake or a discount agreed later. It points back to the original invoice.
    Numbering

    How to number invoices

    • Count up, never skipINV-0001, INV-0002, INV-0003. A gap makes a bookkeeper ask where the missing one went.
    • One series per document typeKeep invoices, receipts, quotes and credit notes in their own series with their own prefix, as this page does.
    • Never reuse a numberIf you cancel an invoice, keep it and mark it cancelled. Do not give its number to a new one.
    • Pad with zeros0007 sorts correctly in a folder or a spreadsheet and 7 does not. Four digits is plenty for most small businesses.
    • Keep it plainA year in the number (2026-014) is fine if you like it. Avoid putting a client name in it.

    Our own choices

How the sums and rounding work

These are the rules this page follows. They are our choices for clear, consistent totals, not rules from any tax authority.

    • RoundingEvery amount is a whole number of cents, pence or yen. Anything that lands between two cents rounds half up: 0.125 becomes 0.13. A negative amount rounds half away from zero.
    • LinesEach line is quantity times unit price, rounded once. A line discount comes off that rounded amount.
    • Overall discountA percentage is taken from the lines, and a fixed amount is capped at the lines. It is shared across the lines in proportion, to the exact cent, so tax is worked out on the discounted amounts.
    • TaxTax is worked out once for each rate, on the total taxable amount of that rate, so the tax summary always adds up to the total. It is not rounded line by line.
    • Tax included in pricesIf your prices already include tax, the tax is taken out of each rate total as amount x rate / (100% + rate). The total stays exactly what you typed.
    • ShippingShipping is added after the discount. Whether it is taxed is your setting. In single rate mode it uses the same rate, and in per line mode it has its own rate box.
    • CurrenciesSymbols and decimals come from your browser. Yen, won and dong have no decimals, and dinars have three.

Your details stay on your device

Everything you type stays in your browser. Nothing is uploaded, and your details are never put in the page address.

The page saves your business details, clients, items and numbering on this device so they are there next time. Use Clear my details to remove them, and do that on shared computers.

The backup file is a download to your own device, and a restore reads a file from it. It is never sent anywhere.

    Questions sellers and freelancers ask

    Invoices, receipts and quotes

    What should an invoice include?

Your name and address, the client name and address, a unique invoice number, the issue date and due date, a description of each item with quantity and price, any discount, shipping and tax, the total with its currency, and how to pay. If you are registered for VAT or a similar tax, add your registration number.

What is the difference between an invoice and a receipt?

An invoice asks for money that is owed. A receipt confirms money that has been paid. You usually send an invoice first and a receipt after the client pays. Choose Receipt above and the document shows Paid, with the date and method.

Can I make a quote or an estimate?

Yes. Choose Quote, set how many days it stays valid, and the document shows Valid until instead of a due date. It has its own number series, so quotes never use up invoice numbers.

    How do I number invoices?

Use a prefix and a count that only goes up, such as INV-0001, INV-0002. Set the prefix once and the page suggests the next number. Press Start next document when you finish one and it remembers where you got to on this device.

Can I add tax, VAT or GST to an invoice?

Yes. Choose one rate for the whole invoice or a rate for each line, and say whether your prices include tax or not. The totals show each rate separately. This page does not tell you which rate to charge. Your local tax authority does that.

Does the invoice meet my country's rules?

We cannot say, and we never claim it does. Invoice rules differ by country and by the kind of business you run. The page lists what HMRC says a UK VAT invoice must show, with the official links, and points you to your tax authority for anywhere else. This is general information, not tax or legal advice.

How do I save an invoice as a PDF?

Press Save PDF, then choose Save as PDF as the destination in the print window. The page size is already set for A4 or Letter. Leave the scale at 100% and the margins on the default. Long invoices get a repeated table header and page numbers.

Is my business and client information stored?

Only on your own device, in your browser. Nothing is sent to a server or added to the page address. You can download a backup file and restore it on another computer, and Clear my details deletes the saved copy.
