What to put on a packing slip

A packing slip is the sheet inside the parcel that says what is in it and who sent it. Keep it clear and short. These are the parts that matter.

    • Order number and dateThe first thing you or the buyer will look for. It ties the parcel to the order, and to any message about it later.
    • Who it is forThe buyer name and delivery address help you check that the right slip is in the right box. Leave the address off if you would rather not print it.
    • What is insideThe item name, the variant or SKU, and the quantity. This is the part that stops a wrong colour or size going out the door.
    • Your shop detailsShop name, logo and a way to reach you. If something is wrong, the buyer should not have to hunt for your contact details.
    • Return instructionsA short note on how to return an item and how long they have. Say the same thing here as you say in your shop policies.
    • Prices, only when they helpMany sellers leave prices off. For gifts, hide them. The "Gift order" switch removes every price and shows your gift note instead.
    Thank-you cards

Thank-you card ideas that people keep

    • Say it in your own voiceTwo or three sentences in the way you really talk beat a long template. Start from one of our messages, then change it until it sounds like you.
    • Name the person, not the orderIf you know the buyer name, write it in by hand. A pen mark makes a printed card feel personal.
    • Add one clear next stepA QR code to your shop, a review page or a care guide. One link is plenty. Cards with three calls to action get none of them.
    • A discount for next timeA short code for a repeat order is a friendly way to say thank you. Check the rules of the marketplace you sell on first.
    • Show how to care for itFor candles, plants, clothes or jewellery, a line of care advice is useful and shows you know the product.
    • Make it match your brandUse your logo and accent colour so the card looks like part of your shop, from the listing photos to the parcel.

Marketplaces have their own rules about what may go in a parcel, such as links, discount codes and requests for reviews. We do not list them here because they change. Check the seller rules of every marketplace you sell on before you print a card with a link or a code.

    Printing
    • Print at 100 percentIn the print window choose "Actual size" or 100 percent, not "Fit to page". Fit to page shrinks the slip and moves the cut marks.
    • Pick the right paper sizeChoose A4 or Letter for plain paper. Choose 4x6 in for a thermal printer or label roll. Cards print on A6, 4x6 in or A7, or two or four to a sheet.
    • Keep the margins onWe leave a safe margin on every page so printers do not cut off the edges. Leave "margins" on Default in the print window.
    • Use heavier paper for cardsCard stock around 200 to 300 gsm (80 to 110 lb) feels like a real card. Check what your printer can feed before you buy a pack.
    • Print one test page firstPrint one slip on plain paper before a big batch, and hold it up to the light with a card to check the cut marks line up.
    • Save a PDF for a print shopChoose Save as PDF in the print window to get a file you can email to a local print shop for a run of cards.

    Questions sellers ask

    Packing slips and thank-you cards

What goes on a packing slip?

Put the order number and date, who the parcel is for, each item with its variant or SKU and quantity, your shop name and contact details, and how to return an item. Add prices only if you want the buyer to see them.

Do I need a packing slip?

Rules and habits differ by marketplace and country, so check the seller help pages for the places you sell. A slip is still useful: it helps you pack the right items and gives the buyer a way to reach you.

How do I print packing slips for many orders at once?

Switch to "Many orders", then paste rows from a spreadsheet with the columns order, buyer, address, item, SKU, quantity and, if you like, price. Rows with the same order number are grouped, and each order gets its own page.

How do I hide prices on a gift order?

Turn on "Gift order: hide prices". Every price and total is removed from the slip, and your gift note is printed in a box instead. It applies to all the slips in a batch.

Can I print on a thermal printer?

Yes. Choose the 4x6 in paper size for the slip, or the 4x6 in card size. In the print window pick your thermal printer and set the paper to 4x6 in (100 x 150 mm) at 100 percent.

How do I save a packing slip as a PDF?

Press "Save PDF". The print window opens. Choose "Save as PDF" as the destination and save. Nothing is uploaded, because your own browser makes the file.

Can I put a QR code on a thank-you card?

Yes. Turn on the QR code, paste the address of your shop or another page, and it is drawn on the card. It is made on your device and scans with any phone camera. Check the marketplace rules before you link to a shop outside it.

    Is it free and private?

It is free and there is nothing to sign up for. Everything runs in your browser, and your shop details are saved on your own device only.
